[Leaders] World Thinking Day Plans

Just wanted to let you know I am planning to hold the World Thinking Day on Saturday as planned.  Any more snow we get will most likely be done by Saturday morning.  We may have to dig out, but should be able to make it to the church.

For those who have a booth, plan on 100 people for the snack.  I will have drinks available, and I have purchased some paper products just in case, but plan to bring plates or bowls to serve your samples.

There are two kinds of incentives--initial incentives and final incentives.  The initial incentive is only earned if a girl sold 150 boxes of cookies, so that might not apply to you.  It is usually delivered with the initial cookie order.

The final incentive order is due April 12.  It can include booth sale cookies, that's why it's later.  You can allocate boxes to individual girls--for both the booth sale cookies and the extra cookies that the troop bought to round up to a case for each variety.   The extras are shown in the Girl Orders tab at the bottom on the Difference line--these can be allocated to individual girls if you want..  You do this by going into the eBudde Girl Orders tab.  Click on a girl's name, click the Add Transactions button and enter her name and the amount of cookies you're adding to her total on the live boxes at the bottom of the screen.  Next, click on the OK button at the end of that live line, then do the save process.  (This is from an email Council sent out last year.)  Final incentives are delivered later, after sales are done.

When you're ready to submit the final incentive order, go into the Incentives tab, and where it says Final Incentives, click the Fill Out button.  Click Edit All, then at the bottom click Submit All Girl Orders, then click Submit Incentive Order to submit the order for the troop.  Again, this is due by April 12, but if you're all done selling, I encourage you to do it now so you don't forget.  Initial incentives are done the same way, but are much simpler since there's only one incentive.

Another note about the "extras", or boxes that your troop buys in order to round the order up to the case--if you are doing Troop Gift of Caring (donated cookies for which your troop picks the organization to which to donate, listed in the TGOC column under Initial Orders) the ebudde software will assume you want to take your donated cookies out of those extras.  For those, you don't have to allocate boxes to individual girls, because they are already listed as part of a girl's order.  Council Gift of Caring cookies (also known as virtual cookies) are not taken out of the extras, but are still automatically allocated to girls for incentive purposes.

Not that I know of--my understanding is that our Council does not stock mango creme cookies, because the cookie company they have contracted with (Little Brownie Bakers) does not make them.  To get them, I think you'd need a family member in another part of the country to make the arrangements, or you'd need to drive there and find a cookie booth (good luck figuring out their schedule).  The other company also has lemonades, which my kids miss, so if anyone does have distant relatives or finds a booth within a few hours drive, I'd be interested to hear.  I wonder if we have anything they want?  Maybe they'd trade us one for two, for Thank-you-berry-munches (just kidding!).  

We were with the other company up until a few years ago, and people complained then too, that the names weren't right, the cookies weren't right, etc.  I miss the cookies from the other bakery, but I really don't want to go back to ordering cookies on paper forms, so I'm not complaining.

Here's an update on girl scout cookie sales for 2013--the current documents are now available on the GSMISTS web site, at:

The important piece there is the second document, called "2013 Cookie Manual - Troop Leaders".  If you did the training online and you want all the information in one place, that document has it.  (Or if you will be at the January 14th training, you will get a paper copy).  Also part of that document are the bank form, permission form, and entry form for winning cookies.  I have also attached a copy of the updated bank form with the correct date, in case you want to email it to Council.  Here are some reminders:
  • Cookie sales start January 18th.  Please don't sell early, as it's not fair to girls trying to sell to the same groups, and we've had one or two complaints.
  • Training will be at 6pm January 14th, before the leader meeting.  Experienced leaders can take training online instead.
  • January 14th is also the day to get order forms and other paperwork, which will be available before the leader meeting.  If you need to get them at another time, please contact Stephanie (see below).
  • The bank form is due to Council January 21, or can be turned in at the January 14th training.  Your ebudde password for cookie orders should be set by Council after they receive the bank form.  If you have other questions, or problems with orders, please contact Charlie (see below)

Cookie prices are the same as always, $3.50 per box, and the order forms look very similar to other years. The cookie varieties are the same as last year--the Savanna Smiles were so popular that they weren't able to switch them out. As before, all money is being handled via electronic transfer, and the delivery schedule is tight.
 
Girls must be registered to sell cookies, and you need a troop number, a troop bank account, and training... and paperwork, of course!

Bank account information for cookie payment--there is a form with a place to attach a voided check, just like last year. After the bank form with voided check has been turned in to Council, they are supposed to send you your password for the cookie ordering web site, ebudde (unlike last year).  Troops that don't use checks can write "No checks" on the form and attach a bank statement. The form isn't available online yet, so I will send another email following this one, with the form attached. I'm told the form can be sent to Council via email or fax to tmyers@gsmists.org (616-784-8187). Council will withdraw cookie payment from your troop account on April 4.  Because the money will come from the troop account via electronic transfer, any checks must be written to your troop, NOT to gsmists. The checks need time to clear before the money would be available, so council is suggesting that we use cash as much as possible. They told us last year that any insufficient funds problems would be the responsibility of the troop leader so the money needs to be there, and troop leaders need to keep an eye on cookie managers--if you need Council to withdraw less money because of bad checks or non-payment, the form for that needs to be turned in to Council by April 2.

Two options for training--either in person before the January 14 leaders meeting at 6pm, or if you have sold cookies before, you may train online any time at http://vipetraining.littlebrownie.com/ . The first time, click "Request Access" on the right, and put in your name, email, state--Michigan, council--Michigan Shore to Shore, service unit--322, and your troop number and zip code. It should set up an account for you--you'll need to verify your email address and set up a password. Once you log in, there are five sections--the first four have videos to watch, and all five have quizzes to take. The web site keeps track of which videos you have clicked on and which quizzes you have completed. You don't need to actually watch the videos all the way through. Once you take all the quizzes and get all the answers right, that fact is available to the Council folks, and once they also have your bank account information they are supposed to set your password for you in ebudde and send it to you. If that doesn't happen correctly, let me know, and I can probably find a way to get it working. If neither of these options works for you for training, let us know and we'll figure something out.

Paperwork--the final thing needed to sell cookies is paperwork, of course. You are supposed to get a training manual, order forms, and receipt books. The training manual is supposed to be available online, but it isn't yet, and I don't have an electronic copy yet. If you need to get the paperwork at a time other than the January 14 leader meeting, let us know, and we'll figure out times for pickup. The materials come from Stephanie (not from Charlie as was previously indicated) because they are in her garage!

Cookie ordering--ordering is done on the ebudde web site at https://ebudde.littlebrownie.com/ once you turn in your bank paperwork and get your password. Make sure to allocate booth cookies to individual girls so they get incentives. You need to submit your initial orders (for cookies and incentives) by February 20th, and your incentive order for booth sales by April 12 by midnight because the web site shuts down! These deadlines got messed up last year and the web site closed early, so I'd suggest getting things done a few days early if at all possible.

Delivery--as in other years, cookie pickup will be some time in the March 18-22 time frame. We'll know more once we get closer.

Two kinds of cookies won't be available for booth sales--Dulces and Thankyou-Berry-Munches. We had at least one troop last year that didn't do an initial order, but did booth sales--if that's your situation and you want those kinds, you might want to order a few or arrange to buy or trade for them with another troop.  As always, girl scouts sell cookies to other girl scouts at $2.95 per box, so that the final troop to sell to the public gets the profit.

New this year, if a girl sells 50+ boxes, her registration for next year is free. Registration is expected to go up to $15 so that's a good thing. They are allowing us to accept credit cards for booth sales again this year, see page 13 in the manual.

Here are some answers to questions that were asked in the past:

Q: Why doesn't my ebudde login from last year work?
A: Council reset the passwords, and will let us know what they are when we send in the bank forms. If you have done the training and sent in the form and still can't get into ebudde, let me (Charlie) know and we'll figure it out. In previous years I could tell you your password, but they don't allow that any more, so we may have to reset it somehow.

Q: Can girls without a troop sell cookies?
A: Yes, their orders go through the service unit.  (Currently we don't have any--please let me know if that changes.)

Q: Can troops that don't yet have a troop number sell cookies?
A: It's complicated, but yes, if the girls are registered it should be possible.  I have been in contact separately with all the troops I know of, please let me know of any I've missed.

Q: Can Daisies do the community cookie booth?
A: Yes

Q: Do the routing and account number need to be entered into ebudde for cookies to be ordered?
A: No

Q: Are booth sales covered by the second bank sweep that happens in mid-April?
A: Yes, troops keep the proceeds, they get cookies for 2.95 and sell for 3.50.

Update--after several more emails, they fixed the due date, it really is the 20th now.  That means midnight on the evening of the 20th, though of course their clocks might not agree with ours.

[Leaders] NUT Allergy - Thinking Day and OVernight Camp

Hi,
Sorry everyone is getting this.  I don't have a list of individual e-mails.
 
I am writing this for the Thinking Day activities - if they have foods and the Overnight Camp.
 
A girl in my troop has a NUT allergy.  Not just peanuts but ALL NUTS.  This includes things like Nutella, peanut butter, anything manufactured on the same equiptment that also processes nuts or tree nuts.  Most packages have CONTAINS below the ingredients if you are not sure if it has nuts or may contain nuts.

[Leaders] Meeting minutes

Feb. 11, 2013

Sorry we missed seeing quite a few of you at the meeting.  Parade patches and dance patches were available for pick up. 

 

Sandy went over two forms with us – Event proposal form and plan 2 insurance form.  If you are running a neighborhood event the event proposal form has to be filled out and submitted to council 4 weeks prior to the event for approval. Sandy needs to sign the form.  Also sometimes the plan 2 insurance form will also need to be filled out.  Please ask if you are unsure.

 

If you want to meet in your home background checks of all persons over the age of 18 must be done, show home owners insurance and each girl needs a signed permission slip.

 

Feb. thinking day.  Get those registration forms in for the Daisy and Brownies.  Cost is $5.00.  This is a great event.  Check out the website for more details.

 

Cake Wars – April 20th from 1:00-3:00.  Event registration form for the Rockford service unit needs to be turned in.  Limit is 40 girls.  Theme GS Traditions.

 

April 27th – Civic theater – Anne of Green Gables.  Families are welcome to attend.  Get your event registration form in.  Children must be 5 or older.  Cost $12 per ticket.  47 sold already.

 

YMCA overnight was canceled.  Looking at an evening event in March.  More details to come if there is interest.

 

Will need to discuss the  Circus Among Us event further.  Date in May chosen does not work.

 

Neighborhood Campout – get those registration forms in.  Due in prior to Spring Break.

 

Daycamp – save the date June 24-27, 2013.

 

Cookie pick up is on March 22nd.  No children will be allowed outside the vehicles at the pickup site.  No exceptions.  Please let your cookie parents know.  This is for their safety.  It is controlled chaos at the site.  Need volunteers that morning to count and stack.  Pizza lunch provided.  Also you get your cookies earlier and don’t have to deal with the lines.  J   Timeslots will be available at the March meeting so come and sign up for cookie pick-up.

 

 

Knitting:

If your girls would like to learn to knit, I would be glad to come to your troop.

 

Who: Juniors and up (Limited to 10 girls that do not know how to knit.) We can take more if they already know how to knit and can work on their own.

 

Bring ONE of the following:

Size 11, 13, 15 knitting needles

Knifty Knitter

Size H, I, J crochet hook OR

I will have a few extras needles and hooks.

 

We will teach the girls how to knit or use the Knifty Knitter. They are welcome to crochet, if they already know how.  We will supply wool yarn. If you don’t want to use are yarn, please feel free to bring your own.

 

If you bring your own needles, hook or Knifty Knitter, you can take your project home and work on it.

 

When you complete a project, you will be given a patch. All items will be donated to North Kent Service Center.

[Leaders] Registration form for service unit events

Here is the registration form in excel and as a pdf.  Note this is for any event (except the overnight campout).

 

If you ever need a form and cannot find it please let me know.  I am having the link on our website fixed to this form.

 

Also I am inquiring with the YMCA for an evening event to run from 8:30pm to midnight.  I will advise on cost when I get the details.  This would be open for 3rd grade and up.  Not an overnight.  If your troop is interested in an event like this please let me know.  I will try for a Saturday night in March.  We can do gorp – everyone brings and item to share and have leaders bring fruit in lieu of a cost to get in.  Again I am winging this from interest expressed from the younger girls in a YMCA event.  So if you think you are interested email me back so I can get an idea.

If you have a parent that wants to hang out for the day with us at camp and have dinner the cost for the day with dinner is $10.00.

 

As numbers are finalized if I have extra beds I will advise.  Please note on registration forms any parent that wants to stay the night, but only pay for the day for now.  I have a few weeks to work out the details prior to camp.

Hello Everyone,

 

With World Thinking Day fast approaching ( February 22nd) and we are doing an essay contest that will now be extended through 12:00pm on February 28th 2013. Essays can be sent to the mvp@gsmists.org  website with the subject line World Thinking Day Essay 2013. Please include the name of the person entering contest, the troop # if there is one and the regional area that the girl is participating from. This contest is for currently registered Girls Scouts girls only. The essay chosen will get a $20 voucher to the store that needs to be used in 2013. There are two themes chosen this year for World Thinking Day by GSUSA and WAGGGS and they are "Together we can save children's lives" and "Every mothers life and health is precious"

 

The essay question we have chosen for this contest is:

 

What could you do to help save children's lives around the world? Please describe what issues children around the world are facing and how your ideas would help.

cheap, quick, great lesson and good for 2 years! Sign up to the address
at the bottom, not me. This is not a GS sponsored class, just a great
option we can use in Rockford.
